Efficient and EXPERIENCED FULL-TIME ADMINISTRATOR/OFFICE MANAGER required for a small busy office in a rural location organising English Language Courses and Teacher Training Courses for European students/teachers.

In preparation for Brexit, the company was registered in Ireland in 2017 with a branch in the UK since many participants on our courses are funded by the EU Erasmus+ programme.

Our office has a small staff and is situated in the small Cotswold village of Hazleton, 4 miles from both Northleach & Andoversford and 10 miles from both Cheltenham and Cirencester.

The successful applicant must therefore be happy working as part of a small, committed team in a rural environment.

All applicants should possess:

- excellent typing and IT skills including the use of Microsoft Word and Excel
- excellent organisational skills, accuracy and attention to detail
- ability to work quickly, accurately and efficiently under pressure
- flexible approach and ability both to work on own initiative and to follow instructions
- an enthusiastic and committed attitude to the work

- a professional and friendly telephone manner
- confidence in negotiating prices

The work will include the following (some tasks to be shared with other members of staff):

Liaising with Local Organisers re. accommodation lists (allocation of participants to host families).

We operate our courses through a network of Local Organisers based in various locations in the UK (Belfast, Cardiff, Chelmsford, Cheltenham, Colchester, Dunfermline, Exeter, Gloucester, Ipswich, Maidstone, Portsmouth, Shrewsbury, Southampton and Worcester) and in Ireland (Dublin and Galway).

The local organisers are responsible for organising and supervising a programme provided by our office and arranging host family accommodation.

Liaising with and assisting Local Organisers re programme arrangements for groups of teachers and groups of students including:

·         locating and booking rooms for lectures and study sessions

·         finding lecturers and speakers

·         arranging day visits to schools

·         booking of coaches, rail etc for excursions

·         preparing the float for programme expenses and accommodation payments

·         preparing and dispatching welcome folders

·         photocopying and dispatching teaching materials.

Liaising with and assisting Local Organisers in arranging work experience for European students
Processing applications, raising invoices and recording payments from participants on Courses for European Teachers & Holiday Language Courses

Corresponding with applicants and producing receipts and certificates of attendance.

General Office Duties:

Working partly on own initiative and partly as directed by the Director – to include all the basic secretarial tasks (i.e. typing of letters, programmes in table format, etc.), answering incoming calls, photocopying, sending and receiving e-mails, filing, ordering stationery and dealing with the post (including taking the post to a collection box at the end of the day).

Days per week: 

Hours: 0900-1700 (with a half hour lunch break)

Holidays:

28 days paid holiday per annum including bank holidays.
We request that holidays are not taken at peak periods, particularly June, July and August and that any 2 week holidays are usually taken in quiet periods.
