Bidteam Administrator - Temporary position - Maternity Cover Up to 12 Months

Reporting to:  UK Bidteam Team Lead


Following our continued growth we are looking for a Bidteam Administratorto join our team on a permanent basis at our EMEA HQ in Cirencester, Gloucestershire.

  • The Group Bid Team division responsibilities are to source, scope, design and – ultimately – win, transformational technology deals. Working across all sectors and all industries, our team exists to build extraordinary value within our clients’ organisations.
  • As part of the Group Sales Bid Support Team, your role will be to support our Service Delivery Manager in the delivery of small, medium and large complex bids and make sure they receive an excellent level of customer service.
  • We are looking for a candidate to join the existing team and are looking for a mix of experience and enthusiasm to add to our diverse mix of staff.

This role entails cross functional skill sets. Predominantly the role is to provide a commercial and subject matter expertise within the Procurri Europe bid team, providing direct support and quotes to the internal sales teams.


Pre Sales Support

Act as Subject Matter Expert (SME) for BAU request from sales teams
Give guidance on pricing and delivery questions raised from sales teams
Qualify opportunities
Attend Bid Team meetings as and when required
Work with Bid Teams during the initial stages of a bid, and help create the necessary documentation and document management procedures

Sales Support

Quoting of BAU day to day quotes
Gather Feedback from sales people following quote
Provide feedback to the business on wins and losses etc.

Post Sales

Oversee the on-boarding process
Address any issues in a timely manner

Professional Services Support

Provide day to day ownership of BAU projects, supported and delivered by the services team to ensure all is aligned as per customers expectations

Quote Engine Development

Assist Service Delivery Manager in developing the quote template for EMEA
Examine automation techniques for quoting.



Functional / Technical competencies

The successful candidate for this role must be a team player who is capable and calm under pressure. Proven previous experience in a role where you have demonstrated flexibility and the ability to multi-task would be an advantage.

In addition, the successful candidate must be able to demonstrate:

  • Advanced Microsoft Word
  • Advanced Microsoft Excel
  • Advanced Microsoft PowerPoint
  • Excellent document management skills
  • Ability to work to tight deadlines, which means needing to be flexible to do overtime as and when needed, sometimes at short notice
  • Assisting with the coordination and production tender submissions and Pre-Qualifying Questionnaires (PPQ’s)
  • Creating high-quality proposal documents
  • Coordinating proposal document production (hard and soft copy), ensuring the timely submission of allocated proposal

Non Functional / Technical competencies

  • Plan and co-ordinate the compilation of PQQ and tender submission to tight deadlines and schedule to the highest quality with a good understanding of creating attractive and informative documentation
  • To develop, write and deliver differentiating customised content to agreed deadlines
  • Ensure highly accurate documentation with the ability to proof read submitted answers and suggest appropriate improvements
  • Support overall bid submission process and related administrative tasks
  • Ensure all responses are proof read and sense checked for accuracy, spelling and grammar
  • Maintain high quality bid material, templates and case studies to continuously improve the quality and success of future submissions
  • Efficiently manage follow-up on tenders
  • Experience of working in a sales and or bid environment with understanding of sales/bid processes within the IT industry would be advantageous
  • Successful applicant must be IT Literate
  • Excellent communication skills, good attention to detail for writing and proofing, ideally with a creative flair
  • Must be flexible, occasionally travelling to satellite offices and client locations
  • Also, needs to be capable of working unsupervised and have the drive and initiative to undertake necessary tasks without formal direction
  • Must be deadline driven
