Admin and Finance Officer

Gloucestershire - Home-based

The purpose of the Admin and Finance Officer post is to support the project work of the VCS Alliance and the staff team. The holder of this post will have day-to-day responsibilities for the finance and general administration of the organisation, be the first point of contact for members, and will ensure that accounting processes are undertaken in a professional, accurate and timely manner.  It requires a wide range of activities to support the VCS Alliance with its programmes of delivery and to support staff with project work and meetings.

The role is varied and potentially quite complex.  Whilst predominantly home based, there will be regular travel across Gloucestershire to attend meetings, taking notes for the various meetings and forums.

The successful candidate will have both administrative and book-keeping skills. They will also show a high degree of organisation, integrity and flexibility to support other team members, ensure the smooth running of the organisation, and in general be an ambassador for the VCS Alliance.

Key Responsibilities and General Duties


• Raising invoices and chasing late payments
• Paying bills and setting up payments for authorisation
• Processing and paying team expenses
• Recording all income and expenditure
• Checking bank account and bank statement
• Recording income and expenditure on monthly cashflow sheet and circulating to Board
• Liaising with payroll provider regarding salaries, tax/NI and pensions
• Completing forms for the bank on account signatories or other amends to account
• Monthly financial reporting
• Ensuring appropriate insurances are in place
• Liaising with accountant on preparation of annual accounts

Office Administration

• Updating database and mailing lists
• Provide secretariat support for board meetings, including organising dates, minute taking, working with Chief Officer to set the agenda, writing up actions and distributing meeting papers
• Follow all organisational policies and procedures, and assist in ensuring that these are applied consistently across the organisation
• Support the development and organisation of VCS Alliance events (seminars, conferences)
• Produce monitoring reports for the staff team and board
• Support staff team with meeting admin including minute taking, organisation and set up
• Field company phone calls and emails and distribute out to staff team
• Recording staff holidays, sickness
• Maintain organisational file system and update as appropriate

Communications Support

• Support the communication officer with monitoring and evaluation of campaigns
• Support the delivery of an annual conference/event aimed at VCS providers

Key Experience/ skills:


• A minimum of 3 years’ experience of office administration; RSA1, CLAIT, NVQ2 Business Administration/Customer Care or equivalent
• A-C GCSE in Maths and English
• Excellent customer care skills
• Highly organised
• Ability to work with minimum supervision and manage own time
• Willing to learn new things
• Detailed understanding of General Data Protection Regulations
• Excellent verbal and written presentation skills
• Computer literate: Microsoft Office, Windows, Word, Excel, PowerPoint, e-mail, internet, database.
• High degree of confidentiality when handling sensitive information


• Enthusiasm and commitment to the Voluntary and Community Sector
• Experience of working in, or in support of, local or other statutory authorities
