Office Administrator


Reporting to the Office Manager

Roots Systems Ltd, World Leaders in the production of skid mounted rotary compressors for the oil and gas industry are looking to appoint a proactive Office Administrator

Office Administrator Job Purpose:
Ensures proper flow of office procedures, and supports the Office Manager by carrying out common office duties.

Office Administrator Job Duties:

  • Answers phone calls and transfers them as necessary
  • Drafts, formats, and prints relevant documents
  • Interacts with Directors / Managers and carries out their requests
  • Photocopies and files appropriate documents as needed
  • Creates Project Documents to include specification folders and contract folders
  • Check and save Order Acknowledgments and Invoices against all orders
  • Production of project documentation and maintenance of records in accordance with the deadlines set out in the project.
  • Producing Specs management folders and booklets
  • Chasing suppliers order acknowledgments
  • To cover for Document Controller, After Sales Co-ordinator and Purchasing Co-ordinator as necessary
  • Maintain the monthly Job list and issue as required
  • Archive filing

This is a varied role and the successful candidate will need to be well organised and flexible to be able to handle the many different functions the role dictates.

The above list is an idea of what will be required but is not exhaustive and other duties will be allocated as required.

The successful candidate will have the confidence and ability to work unaided and also when required work within a team. A positive “can do” attitude is expected.

Location: The role will be based at our Stonehouse site in Gloucestershire.
Package: Salary range dependent upon experience
Hours of work: 8:30 to 17:00 Monday to Thursday, 08:30 to 14:30 Fridays.

This is a permanent position, pay is monthly, and holiday allowance is 22 days per annum plus statutory bank holidays.
