Fixed Term Contract of 3 months, immediate start
37.5 hours per week (days to fluctuate)

Cheltenham Peripheral PCN represents 5 GP practices on the edge of Cheltenham. We are seeking additional staff to book vaccinations for our patients at Cheltenham East Fire Station in the centre of Town. The role reports to the Team Leader of the COVID Vaccination Booking Centre and this is based at Cleevelands Medical Centre in Bishops Cleeve.

The contract term will initially be for 3 months and could be extended. An extension will be determined by the progress of the vaccination programme. The role will cease when the vaccinations have been completed.

Job Description
The key tasks, duties and responsibilities are set out below;
• To support the local roll out of the national COVID-19 vaccination programme by making contact and responding by/to telephone, calls emails and texts with/from patients.
• To be as flexible as possible in being available for a fluctuating pattern of shifts on the weekly  rota organised by the Team Leader. This flexibility is required as the notice period for delivery of vaccine is often short and the clinics can only be opened for bookings once sufficient stock of vaccine has been secured.
• To provide patients from the designated cohort with allocated vaccination appointments using an on-line appointment book. Care must be taken to ensure that the vaccine used for the first dose is the same for the second dose. Patients from other cohorts should not be booked appointments unless otherwise directed by the Team Leader.
• To ensure each clinic at the vaccination site is filled to its maximum capacity.
• To identify patients with social, economic or mental health barriers preventing attendance at the vaccination centre and to refer these cases to the Team Leader to her to follow up with the Social Prescribing Link Worker as and when appropriate.
• To listen sympathetically to any complaints received from patients and if required to discuss these with the Team Leader for a resolution.
• To ensure patients are given clear and concise information regarding the vaccination centre and the vaccine.
• To be familiar with alerts and warning flags assigned to patient records.
• To  work through reports from the Team Leader, as and when required.
• To agree  to work with staff from other practices within the Cheltenham Peripheral Primary Care Network, from other Networks and with and volunteers as and when directed.
• To ensure you comply with COVID- risk assessments for your work area.


Person Specification
Applicants must have;

• At least 5 GCSE’s including English and Maths
• Minimum of 1 year’s experience in a call centre or in a busy administration environment.
• An ability to remain calm under pressure
• A keen eye and attention to detail
• Good verbal communication skills with a friendly phone manner
• An ability to work as an effective team player and on their own initiative as and when required
• Experience of using on-line booking platforms and spreadsheets
• Respect for patient confidentiality and strict data protection governance.
• A full UK driving licence and use of a car.

Desirable Skills & Experience
Applicants with the following attributes would have a distinct advantage;

o Experience of working in a GP practice or healthcare setting
o Familiarity of using Systmone software.

Training will be given on how to use the bookings software
