A part-time medical administrator is required for a busy GP Practice.  Previous experience is desirable but not essential, must also be flexible to cover holidays and sickness absence.

HOURS:  Hours per week (as per contract)

Job Summary:

The post holder will enjoy the challenge of a varied workload that requires the use of organisational and prioritising skills, combined with attention to detail.  Problem solving on a day to day basis on issues relating to work, the post holder will also enjoy working closely as a team to achieve shared objectives, deliver daily priorities and meeting high patient expectations.

Job Responsibilities:
• Ensure that all new patients are registered onto the computer system promptly and accurately.
• To assist with chronic disease and cervical screening recall by maintaining registers and sending invitations for reviews to patients.
• Work on all areas of QOF as instructed.
• To assist with the gathering of statistics and information when required.
• To assist in the accurate and timely processing of requests for insurance & DVLA reports.
• Scan incoming documents to patient records.
• Identify relevant clinical information contained in patient correspondence and code or free text clinical information onto patients’ records.
• Action tasks from clinicians relating to patients pathology & imaging results.
• Develop familiarity with coding of clinical data noting any variances and investigating accordingly.
• Enter patient information on to the computer as required.
• Patient notes and correspondence:
o Retrieve and re-file records as required, ensuring strict alphabetical order is adhered to
o Deal with incoming records as soon as they are received
o Deal with outgoing medical records
o Ensure correspondence, reports, results etc are filed (if unsuitable for scanning) promptly and in the correct records.
o Ensure records are kept in good repair with all necessary information on the outside cover clearly visible.
o Summarise incoming medical records
• Receive and make telephone calls as required.  Divert calls and take messages, ensuring accuracy of detail and prompt appropriate delivery.
• Assisting with the Flu Clinics, working alongside the Practice Team, updating patient’s clinical records.
• Other duties may include: Actioning repeat prescription requests and ensure that they are ready for collection by the patient within 72 hours, either on the computer or manually.
Cover for Reception or other members of the team – Answering calls and dealing with patients face to face.
• Undertake any other additional duties appropriate to the post as requested by the Leadership Team.


• Provide prompt assistance to clinical staff.
• Monitor personal development to ensure a first class service is delivered to the Practice and patients.
• Participate in relevant training and development, attend Protected Learning Time events and attend practice meetings, including any external events as appropriate. Note these may be outside your normal working hours.
• The post holder will adhere to all Laws, regulations and other regulatory guidance as well as the Practice’s Policies and Procedures (including Financial, Personnel and Health and Safety) in place.

• Information relating to patients, carers, colleagues, other healthcare workers or the business of the Practice may only be divulged to authorised persons in accordance with the Practice policies and procedures relating to confidentiality and the protection of personal and sensitive data

Health & Safety:

The post-holder will assist in promoting and maintaining their own and others’ health, safety and security as defined in the Practice Health & Safety Policy, to include:

• Using personal security systems within the workplace according to Practice guidelines
• Identifying the risks involved in work activities and undertaking such activities in a way that manages those risks
• Making effective use of training to update knowledge and skills
• Using appropriate infection control procedures, maintaining work areas in a tidy and safe way and free from hazards
• Reporting potential risks identified

Hours of Working:

The post-holder will work their contracted hours as shown in their contract of employment.

• Participation in an annual individual performance review, including taking responsibility for maintaining a record of own personal and/or professional development
• Taking responsibility for own development, learning and performance and demonstrating skills and activities to others who are undertaking similar work


The post-holder will strive to maintain quality within the Practice, and will:

• Alert other team members to issues of quality and risk
• Assess own performance and take accountability for own actions, either directly or under supervision
• Contribute to the effectiveness of the team by reflecting on own and team activities and making suggestions on ways to improve and enhance the team’s performance
• Work effectively with individuals in other agencies to meet patients needs
• Effectively manage own time, workload and resources


The post-holder should recognize the importance of effective communication within the team and will strive to:

• Communicate effectively with other team members
• Communicate effectively with patients and carers
• Recognise people’s needs for alternative methods of communication and respond accordingly

Contribution to the Implementation of Services:

The post-holder will:

• Apply Practice policies, standards and guidance
• Discuss with other members of the team how the policies, standards and guidelines will affect own work
• Participate in audit where appropriate

Salary: £10 per hour & NHS pension scheme.

Hours Per Week: 25-30 hours per week worked over 4 or 5 days.
