Travel Coordinator

South Cerney

Holiday:  28 days (including bank holidays) plus 1 day per year up to maximum of 5 additional days.

Benefits:   Level 1 Healthcare Planafter 6 months
                 Company Pension scheme after 3 months

Perk:   If birthday falls on a workday company will give this as an extra day’s holiday

Probationary Period: 3 months

Responsibilities include:

• Answering telephone calls and responding/taking action as requested
• Taking of Worldpay payments and handling of cheque/bacs payments into T3/confirming cashbook weekly
• Banking of cheques in absence of Director
• Opening & distribution/actioning of post
• Management of client bookings and entry onto T3 software booking system
• Management of all client holiday correspondence using mail merge if applicable
• Preparing holiday files
• Keeping T3 and Zoho CRM up to date
• Deal with website queries
• Sending out invoices, booking confirmations, statements
• Assisting with client transport arrangements
• Liaising with Taxi/Drivers for client quotes
• Maintain client feedback spreadsheet
• Maintain Trip Insurance spreadsheet
• Support clients/carers with any complaints and report to Directors
• Send out brochures and booking forms
• Telephone canvassing
• Filing
• Record & distribute office meeting minutes
• Prepare holiday packs ready for each holiday, to include mobility equipment, PPE. 
• Ensure spreadsheet is kept up to date relating to allocations for each holiday.
• Assist in sending out mailshots
• Supervision of 2 staff members
• Maintaining of office holiday planner (staff and tours)
• Hold a weekly briefing meeting with staff
• Any other tasks as requested by the Directors

Skills/Attributes Required

 Proficient in Microsoft Office especially Excel, Word and Outlook
 Previous Travel/Customer experience essential
 Knowledge of the care sector advantageous
 Excellent communication skills and telephone manner
 Ability to multitask
 To be honest, discreetand trustworthy
 Good time management essential
 Attention to detail
 Flexible and approachable attitude
 Good sense of humour and patience an advantage
 Understanding of work priorities and spotting opportunities for improvement
 Given nature of work a DBS check will be essential
 Full in-house training will be provided

Options Supported Holidays are a tour operator running escorted holidays for adults with learning disabilities.  We are a small family run business who believe passionately about giving our clients the best possible holiday with us. 

As Travel Coordinator you will be the first point of contact for our clients, facilitating their booking from start to finish.  We are looking for someone who already has knowledge in the travel industry as well as customer care and who likes a challenge.

Salary: £22,000.00 - £24,000.00 per annum (depending on experience)

Hours Per Week: 35hrs per week (9.30am – 4.30pm) ½ lunch break
