Role Overview

The Finance Officer is responsible for managing the day-to-day finances of the charity. The role varied, working across the team covering everything from accounts, bookkeeping, working with our CRM system to basic financial reporting, while ensuring the charity remains financially compliant.

Key Responsibilities

Day-to-Day Financial Management

  • Maintain accurate financial records for income and expenditure.
  • Process invoices, payments, and staff expenses
  • Record a variety of donations and fundraising income
  • Manage petty cash and bank transactions
  • Carry out monthly bank reconciliations
  • Input on our CRM to ensure accurate records are kept up to date and fundraising income is coded correctly

Budgeting & Reporting

  • Lead on the preparation of the charity’s monthly accounts
  • Produce simple bi-monthly financial reports for board meetings working alongside the CEO
  • Build annual budgets with support from the CEO and wider staff
  • Monitor cash flow and flag any financial risks
  • Assist the CEO and Treasurer with financial planning
  • Track income and expenditure against budgets
  • Add restrictions on to donations to ensure they are used in line with donor wishes
  • Provide basic financial information for funding applications and reports

Compliance & Governance

  • Maintain financial records in line with charity regulations
  • Prepare financial information for year-end accounts and audit or independent examination
  • Prepare and submit quarterly VAT returns
  • Ensure proper documentation and audit trails are kept
  • Working on monthly Gift Aid Returns

General Administration

  • Assist with an external payroll provider
  • Maintain filing digital systems
  • Contribute to improving simple financial processes and controls
  • Support the Charity and Retail teams with financial queries

Person Specification

Essential

  • Experience in accounting principles and double entry bookkeeping
  • Previous experience of working in a finance role with budget setting responsibilities
  • Strong organisational skills and attention to detail
  • Ability to work independently and manage own workload
  • Experience using accounting software ideally Xero or Quickbooks
  • Excellent in Excel spreadsheet management and development
  • Confident in dealing with sensitive and confidential information

Desirable

  • Experience working in a charity or nonprofit organisation
  • An understanding of VAT and VAT reporting
  • Previously worked with CRM systems
  • Understanding of charity regulation and restricted funding
  • Experience of working in a small but multifaceted teams

Key Attributes

  • Flexible and willing to take on varied tasks
  • Reliable and trustworthy (handling sensitive financial data)
  • Good communication skills, especially with non-finance colleagues and trustees
  • Practical, problem-solving approach

Terms of Employment

Position: Finance Officer
Reporting to: CEO
Location: Flexible between Linc Charity Offices or home working is allowed
Hours: 12 hours per week ideally split over 3 days
Salary: £30,000 FTE or £9,600 pro rata
Annual leave: 35 days annual leave pro rata (including bank/public holidays)
Pension: NEST pension available
