The Role
We are looking for an Administration Assistant to help with our day-to-day samples' activities. The role is to ensure a smooth and successful SMS season shipping is carried out and consistent high performance is achieved across all administrative, warehouse and library processes. The role would provide an efficient, effective, service-driven operation of the samples department.
You Will
- Identify and solve any problems that have arisen with the SMS or Library and assist with the updating of the relevant Media sample, SMS, WMS, PLM and BH system trackers.
- Communicate with internal and external stakeholders effectively, maintain good relationships with all our third-party providers, and ensure expectations and requirements are met.
- Be responsible for booking in and dispatching all relevant samples with our internal and external stakeholders on time
- Ensure that the sample stock across sample warehouses and library is moved effectively and samples are recorded in and out
- Ensure the receipt of internal and external daily sample requests are processed
- Assist with raising SMR (stock movement requests), ensuring all deadlines and expectations are always met.
- Uphold safety, cleanliness, and housekeeping standards across all sample locations
- Monitor and chase inbound sample shipments, keeping stakeholders updated
- Maintain accurate stock records, tracking all physical movements through the system
- A small proportion of this role will involve supporting an additional business area, where you will:
- Be responsible for sample movement, stock integrity, reporting, and operational excellence in the HCHQ warehouse. This is a hands-on role, combining sample management with administrative precision, data management, and cross-functional
- Own all reporting for Samples operations at HCHQ, providing accurate and timely data.
- Be flexible to work in HCHQ SMS, library or studio process when required
You Are
- Experienced working within an admin role would be preferable
- IT literate, mainly intermediate in Excel
- Experienced working in a time-pressured environment
- Able to work effectively within a team and individually
- Highly accurate
- A strong communicator with the ability to deal with internal and external contacts
- Able to learn new tasks in a fast-paced environment
- Able to find solutions to problems as they arise
- Someone with a forklift license and experience would be desirable
- Self-motivated and driven individual
- Able to prioritize own workload to meet deadlines
