Administration & Operations Co-ordinator
Office based, Tewkesbury
To provide high-quality administrative, organisational, and logistical support across Move More’s programmes, events, and operations. The role ensures coaches, resources, and facilities are effectively coordinated; customer and partner enquiries are handled professionally; and organisational records, assets, and governance documents are maintained to a high standard — enabling Move More to deliver impactful services to the community.
Main Duties
- Deliver friendly, efficient customer service by handling phone calls, responding promptly to email enquiries, and managing bookings, including amendments.
- Schedule and allocate coaches to sessions, ensuring timetables are accurate, clearly communicated, and supported by all necessary logistics, including venues and travel arrangements.
- Support the planning and delivery of charity campaigns, events, training courses, and CPD opportunities by managing bookings, coordinating resources, preparing evaluation forms, and overseeing logistics.
- Provide administrative support across a range of Move More programmes to ensure smooth and effective delivery.
- Maintain accurate and up-to-date records, contact lists, and files for all Move More activities.
- Oversee the upkeep of Move More assets, including vehicles, equipment, and buildings, ensuring they are well maintained, serviced, and repaired as required, with vehicles MOT-tested on schedule.
- Maintain and update key governance documents to ensure compliance and good practice.
- Provide HR administrative support including job postings, interview scheduling, onboarding processes, and Safer Recruitment checks.
- Organise and support meetings by taking accurate minutes, managing calendars, and coordinating arrangements with internal and external stakeholders.
- Demonstrates strong prioritisation skills and consistently meets deadlines in a fast-paced environment.
- Undertake any other duties commensurate with the level and nature of the role, as required to support the work of Move More
Person Specification
Knowledge and Understanding
- Understanding of effective administrative processes and office systems.
- Awareness of event and session coordination, including logistics and scheduling.
- Understanding of the importance of data protection, confidentiality, and safeguarding in a charity context.
- Awareness of customer service principles and best practice.
Experience
- Proven experience in an administrative or coordination role, ideally within the charity, education, or community sector.
- Experience of managing schedules, bookings, and timetables.
- -xperience in organising events, training courses, or campaigns, including logistics and resource coordination.
- Experience maintaining accurate records, databases, and contact lists.
- Experience using Microsoft Office and/or other administrative software.
Qualifications
- Educated to GCSE level (or equivalent) including English and Maths.
- Relevant administrative, business support, or customer service qualification (desirable).
- First Aid, Safeguarding, or other relevant training (desirable).
Skills and attributes
- Excellent organisational and time-management skills, with the ability to manage multiple tasks and deadlines.
- Strong communication skills, both written and verbal.
- High level of attention to detail and accuracy.
- Ability to work independently and as part of a team.
- Confident in using IT systems, including email, word processing, spreadsheets, and online scheduling tools.
- Proactive, adaptable, and solution-focused approach to problem-solving.

Salary: £24,000 - £30,000 pa
