Role Overview
BAM Agency is looking for a proactive and organised Campaign Executive to support the planning, administration and delivery of experiential marketing campaigns across the UK.
This is a varied campaign support role suited to someone who is detail-focused, confident in communicating with people, and able to help keep multiple campaigns moving simultaneously. The role will support Campaign Managers with client work, campaign administration, staffing coordination, supplier communication, logistics planning, reporting and general project support.
The Campaign Executive supports the Campaign Manager and does not hold final responsibility for campaign budget, client strategy or operational build decisions unless specifically delegated. Their role is to help make sure campaign information is accurate, documents are prepared, staff are briefed, suppliers have the right details, and internal teams have what they need to deliver successful activity.
This is not a purely administrative role. It requires strong organisation, good communication, a practical understanding of event delivery, and a willingness to support the wider team during busy campaign periods. The role may include occasional travel to events, support with campaign set-up, and hands-on assistance where required.
Key Responsibilities
Campaign Administration and Project Support:
- Support Campaign Managers with the day-to-day administration of live campaigns.
- Help prepare campaign timelines, action lists, schedules and internal planning documents.
- Keep campaign information organised, accurate and up to date.
- Support the creation of client-facing documents, staff briefs, supplier notes and campaign reports.
- Track key deadlines and help ensure tasks are completed on time.
- Maintain clear records of campaign activity, approvals, updates and actions.
- Help identify missing information, gaps or practical issues that could affect campaign delivery.
- Escalate risks, delays or unclear requirements to the Campaign Manager promptly.
Client and Internal Communication Support:
- Support Campaign Managers with client communication where required.
- Help prepare meeting notes, action summaries and follow-up documents.
- Liaise with internal team members to gather updates, confirm details and progress campaign tasks.
- Ensure information is shared clearly among the campaign, operations, staffing, and delivery teams.
- Act professionally when communicating with clients, suppliers, venues and staff.
- Escalate client questions, concerns or changes to the Campaign Manager promptly.
- Help maintain good client service by ensuring actions are followed up on, and information is accurate.
Staffing and Event Team Coordination:
- Support the booking, briefing and coordination of promotional staff, event managers and field teams.
- Help prepare staffing briefs, schedules, call sheets and campaign instructions.
- Confirm staff availability, travel details, uniform requirements and reporting expectations.
- Collate staff feedback, timesheets, images and post-event notes.
- Help ensure field teams understand the campaign objectives, client expectations and practical delivery requirements.
- Support the wider team with staff communication during live campaign periods.
Supplier, Venue and Logistics Support:
- Liaise with suppliers, venues, councils and external partners as directed by the Campaign Manager.
- Help gather site information, access details, delivery requirements and operational restrictions.
- Support the coordination of print, merchandise, stock, equipment and other campaign materials.
- Assist with booking couriers, deliveries, accommodation, travel, and other campaign logistics, as required.
- Work with the Event Operations & Delivery Executive to ensure kit lists, stock requirements and practical campaign needs are clearly communicated.
- Help check that campaign assets, materials and documents are ready before the activity goes live.
- Support practical campaign preparation, including stock checks, packing and occasional on-site support where required.
Data, Reporting and Evaluation:
- Support the collection and organisation of campaign data, images, staff feedback and performance information.
- Help prepare post-campaign reports for clients.
- Ensure data is handled accurately and in line with GDPR and BAM’s internal processes.
- Export, check and organise campaign information where required.
- Maintain clean, accurate campaign records across BAM’s systems and shared files.
- Help review completed campaigns and capture useful learnings for future activity.
Practical Campaign and Agency Support:
- Support campaign packing, stock checks and preparation where required.
- Assist with occasional on-site event delivery, set-up or live campaign support.
- Help prepare campaign materials, props, signage, merchandise and briefing packs.
- Provide general administrative support across the agency during quieter campaign periods.
- Support the Campaign Manager, Agency Manager, MD and operations team with tasks that help the business run smoothly.
- Take a flexible approach to workload, recognising that experiential marketing involves changing priorities and fluctuating levels of activity.
Person Specification
Essential:
- Strong organisational skills and attention to detail.
- Good written and verbal communication skills.
- Ability to manage several tasks at once and keep track of deadlines.
- Confidence liaising with colleagues, suppliers, venues, staff and clients.
- Good competence using Google Workspace or similar tools.
- Proactive, reliable and willing to take ownership of tasks.
- Ability to follow processes, check information and keep accurate records.
- Comfortable working in a fast-moving environment with changing priorities.
- Willingness to support practical campaign preparation and occasional on-site activity.
- Understanding that some campaign work may involve early starts, travel or occasional out-of-hours support.
Desirable:
- Previous experience in events, experiential marketing, field marketing, staffing, project coordination or agency support.
- Experience supporting campaigns, activations, roadshows, promotional activity or live events.
- Experience liaising with suppliers, venues, councils or freelance staff.
- Basic understanding of event logistics and campaign delivery.
- Experience preparing reports, briefs, schedules or client-facing documents.
- Understanding of GDPR and responsible data handling.
- Full UK driving licence.
- Educated to degree level or equivalent experience.
Working Pattern and Travel:
The role will be based at BAM’s office in Cheltenham, with occasional travel to campaign locations, client meetings, or live events as required.
Most work will be office-based and campaign-support focused, but the role may include practical campaign preparation, event support and occasional on-site activity during busy periods.
BAM’s workload fluctuates throughout the year. During busy periods, the role will support live campaign delivery, staffing coordination, supplier communication, reporting and campaign administration. During quieter periods, the role will support internal organisation, campaign planning, process improvement, data management and wider agency administration.
BAM is a small, fast-moving agency, so there will be times when team members support work outside their core role. This may include campaign preparation, warehouse support, admin, supplier research, reporting, internal process work or live event support, depending on business needs and workload.
