This is a key position at the heart of the school, supporting families from first enquiry through to enrolment, managing day-to-day administration and helping to ensure the smooth running of the school.

As the first point of contact for many prospective families, you will play a central role in welcoming new pupils and supporting admissions from enquiry to start date. You will manage communications, maintain records and systems, and coordinate with staff and trustees to support the school’s administrative needs.

You will also oversee the school MIS, ensuring it works effectively for internal processes, record-keeping and communication. Liaising with parents and external professionals on all matters on attendance, ensuring compliance with statutory guidelines.

This role requires someone who is highly organised, able to juggle competing priorities and maintain clear, up-to-date systems. You’ll need to track key deadlines and communicate clearly with colleagues across the team.

In addition to admissions, the school administration aspect of the role includes managing daily logistics (calendars, registers, planning), preparing official school documents and internal communications, coordinating with the teaching staff and external suppliers, and ensuring compliance with safeguarding, health and safety, and GDPR procedures. This is a varied role at the crossroads of operational and educational life in the school.

We are looking to fill this position as close as possible to Thursday 4th September.

Key responsibilities

  • Respond to admissions enquiries and guide families through the admissions process
  • Maintain accurate pupil and family records across all services
  • Coordinate staff and pupil registers, calendars, and internal schedules
  • Manage and develop the school’s MIS system
  • Prepare administrative and regulatory documents (e.g. enrolment forms, certificates, attendance reports)
  • Provide administrative support to the Head and team as needed
  • Coordinate communication between families, staff and trustees
  • Track and maintain deadlines for different service areas
  • Support event planning and logistics
  • Ensure compliance with safeguarding, health & safety, GDPR and other policies
  • General administrative duties including filing, minute-taking, printing, and managing supplies

The ideal candidate

  • Contribute and be sympathetic to the Catholic ethos of the school
  • Previous experience in a school or similar administrative environment
  • Excellent organisational and time-management skills
  • Strong communication and interpersonal abilities
  • Able to manage multiple workflows and maintain attention to detail
  • High level of discretion and confidentiality
  • Works well in a small team and communicates clearly
  • Comfortable with digital tools and data systems
  • Proactive, flexible, and able to work independently and as part of a team
  • Excellent user of the full Microsoft Office suite and cloud systems
