About Wings 4 Growth

Wings 4 Growth is a growing alternative education provision supporting children and young people who may find it difficult to access or engage successfully with mainstream education.

We provide personalised education, tutoring, mentoring and learning support from our education centres, in learners’ homes and within suitable community settings across Gloucestershire.

Our learners may have Education, Health and Care Plans and a range of additional needs, including autism, ADHD, social, emotional and mental health needs, anxiety, trauma and emotionally based school avoidance.

We have both a centre-based team and an outreach team. Our administrator plays an important role in supporting both teams and helping the provision operate safely, professionally and efficiently.

Wings 4 Growth operates during school term time only.

About the role

We are looking for an experienced, organised and dependable Education Administrator to join our team.

This is a varied role within a busy alternative education provision. The successful candidate will provide administrative support to managers, tutors, learning support workers and other members of the team.

The administrator will also communicate regularly with parents, carers, schools, local authorities and other professionals. The position therefore requires excellent communication skills, attention to detail and the ability to handle sensitive and confidential information appropriately.

Previous administrative experience within a school, college, alternative provision, SEND service or another education setting would be highly advantageous.

Working hours

The successful candidate will work one of the following patterns:

  • 9:00am–3:00pm, Monday to Friday; or
  • 9:30am–3:30pm, Monday to Friday.

This is a 30-hour-per-week, term-time-only position. The agreed daily working pattern will be confirmed with the successful candidate.

The successful candidate will not normally be required to work during school holidays unless this is agreed separately in advance.

Main responsibilities

The successful candidate will:

  • Provide day-to-day administrative support across the provision.
  • Act as a professional first point of contact for parents, carers, schools, local authorities, professionals and visitors.
  • Answer telephone calls, monitor shared email accounts and respond to enquiries appropriately.
  • Maintain accurate learner information, contact details and electronic records.
  • Record and monitor learners’ daily and weekly attendance.
  • Follow up unexplained absences and communicate attendance concerns to the appropriate manager.
  • Collect attendance and session information from the centre-based and outreach teams.
  • Prepare and distribute weekly attendance reports to schools, local authorities and other commissioners.
  • Support the administration of new referrals, learner placements and admissions.
  • Organise referral documents, Education, Health and Care Plans, risk assessments, learner profiles and other placement information.
  • Prepare learner files before placements begin and ensure that all required documentation has been received.
  • Maintain staff and learner timetables and communicate approved changes.
  • Support the preparation and administration of service-level agreements and placement documentation.
  • Assist with organising learner reviews, professional meetings, parent meetings and staff meetings.
  • Send meeting invitations, prepare supporting documents and record actions or minutes when required.
  • Maintain accurate records of staff training, qualifications, DBS information and other compliance documentation.
  • Support safer recruitment administration, including requesting references and organising interview documentation.
  • Assist with invoicing records, purchase orders, mileage claims, timesheets and other basic financial administration.
  • Monitor office supplies and order stationery and resources when authorised.
  • Support the preparation of reports, letters, forms, spreadsheets and presentations.
  • Maintain effective electronic and paper filing systems.
  • Ensure confidential information is stored, shared and disposed of securely.
  • Report safeguarding concerns immediately and follow Wings 4 Growth’s safeguarding procedures.
  • Support managers with quality-assurance checks, audits and requests for information.
  • Undertake other reasonable administrative duties required for the effective operation of the provision.

Essential experience and skills

Applicants must:

  • Have previous experience working in an administrative position.
  • Have strong written and verbal communication skills.
  • Be confident communicating with parents, carers, schools, local authorities and other professionals.
  • Have good working knowledge of Microsoft Word, Excel, Outlook and electronic record-keeping systems.
  • Be able to produce accurate letters, emails, reports and spreadsheets.
  • Be highly organised and able to manage competing priorities.
  • Have excellent attention to detail.
  • Be able to work independently while contributing positively to a wider team.
  • Understand the importance of confidentiality, safeguarding and professional boundaries.
  • Be calm and professional when dealing with sensitive, challenging or urgent situations.
  • Be dependable, punctual and able to meet deadlines.
  • Hold GCSE English and mathematics at Grade 4/C or above, or equivalent recognised qualifications.
  • Have the right to work in the United Kingdom.

Desirable experience

We would particularly welcome applications from candidates who have:

  • Previous administrative experience within a school, college, alternative provision or SEND setting.
  • Experience using school management information systems or other education record-keeping systems.
  • Experience maintaining learner attendance records.
  • Knowledge of Education, Health and Care Plans and SEND processes.
  • Experience supporting referrals, admissions or learner-placement processes.
  • Experience communicating with local authorities, schools and education professionals.
  • Experience preparing service-level agreements or commissioner documentation.
  • Knowledge of safer recruitment and safeguarding requirements within education.
  • Experience supporting invoicing, payroll information, timesheets or mileage records.
  • A recognised qualification in business administration, education administration or a related subject.

  • We are looking for someone who is professional, approachable and committed to maintaining high administrative standards.
  • You must understand that accurate administration is central to safeguarding learners, supporting staff, demonstrating progress and maintaining positive relationships with families, schools and local authorities.
  • You will need to move confidently between different responsibilities while remaining calm, organised and attentive to detail.
  • The successful candidate will be trusted with sensitive information and must demonstrate discretion, sound judgement and a strong understanding of confidentiality.
