The Role

We are seeking a proactive Partner & Events Assistant to support the delivery of partner activations, hospitality and bespoke events across all four Festivals. Working closely with the Partner Delivery Manager and Events Manager, you’ll provide administrative support, help coordinate partner activity, and play an important on-the-ground role during live festival periods.This role offers hands-on experience in events, partnership delivery and the charity sector, working with a wide range of partners such as The Times & Sunday Times, EDF, Attivo, Cunard and Cheltenham BID.

Key Responsibilities

Partner Delivery

  • Support delivery of partner activities across all festivals
  • Prepare partner materials including proposals, hospitality plans and layouts
  • Research activation, branding and sustainability options
  • Maintain accurate partner information in FestivalPro (training provided)
  • Assist with meetings, notes, schedules and volunteer task planning
  • Manage partner signage, stock, deliveries and production-related admin
  • Support budget administration including raising purchase orders

Events & Hospitality

  • Assist with event planning, sourcing items and liaising with venues
  • Manage guest lists, invitations and catering information
  • Support creation of event packages and input event details into FestivalPro
  • Prepare signage, event plans and printed materials
  • Assist with event delivery, including managing elements of smaller events

During Festivals

  • Support build and break of partner activations
  • Manage signage placement, stock, deliveries and branding logistics
  • Assist with hospitality events, VIP Lounge operations and event styling
  • Maintain schedules and liaise with caterers
  • Provide general on-site support across partner and events activity

About You

  • Excellent written and verbal communication skills
  • Strong IT skills, especially Excel
  • Highly organised, methodical and detail-focused
  • Able to prioritise and work under pressure to deadlines
  • Confident, enthusiastic and collaborative
  • Creative thinker with a positive, flexible approach
  • Interest in arts, science and/or events and hospitality
  • Comfortable learning new systems (e.g., FestivalPro)

Salary: £22,900- £24,200 per annum (depending on experience)

Hours Per Week: 37 hours per week with evening and weekend work required during Festivals
