Founded in 1982, RJ Hall Forklifts has dedicated itself to servicing and repairing forklift trucks. With over 40 years in the Industry, RJ Hall Forklifts is one of the longest standing independent industrial forklift truck and material handling. Over this period building an excellent reputation with its customers with an honest and reliable service.

We are a family-owned business currently seeking an Accounts & Office Administrator to join a successful team, based in Winchcombe. The job requires a flexible approach with the ability to work as part of a team and independently, looking to succeed and take on new challenges

Responsibilities to include:

  • Main point of contact for all email inboxes and inbound telephone calls, dealing with any queries or to be handed over to a relevant person
  • Raise Work Orders for breakdowns, repairs, servicing and thorough examinations
  • Generate invoices for all work carried out as required and ensure certificates are forwarded to customers upon completion
  • Database Management for all machines - Service reports and Thorough Examination reports to be kept up to date
  • Maintain and Manage Hire Trucks – Generating Invoices as necessary
  • Maintain all customer records ensuring contacts and information are up to date
  •  Responsible for sending reminders to customers each month for services and Thorough Examinations due
  • Send quotations to customers when required
  • Allocate PO numbers to customer orders
  • Schedule jobs into the diary
  • Follow up outstanding services and repairs which need to be carried out
  • Maintain records for trucks on hire and generate invoices as necessary
  • Raise Hire Agreements for new hires
  • Deal with enquiries for forklift operator training and liaise with training provider to book courses in
  • Maintain parts details and pricing on database
  • Deal with returns of faulty parts to suppliers
  • Responsible for uploading accounts on to Sage 50, adding journals on to sage
  • Liaising with Accountant providing any information necessary
  • Carrying out and completing VAT Returns on time
  • Ensure customers orders are placed efficiently and delivered on time
  • Responsible for working closely with team engineers
  • Producing sales or parts reports as and when required
  • Maintaining accurate filing systems
  • Management of systems and databases
  • Any other reasonable clerical office tasks to ensure smooth running of the business
  • Maintain stock of sales materials, catalogues, and office supplies;

Key Requirements

Essential:

  • Strong attention to detail
  • Able to multi task and prioritise
  • Good team player and rapport with people
  • Strong communication and interpersonal skills with the ability to build effective team and customer, supplier relationships
  • Experience & knowledge on Sage 50 Accounts
  • Flexible attitude with the ability to show initiative
  • Friendly approachable nature with the ability to communicate easily with customers, suppliers and team members
  • Strong Microsoft Word, Excel and Database Skills
  • Reliable and conscientious
  • Previous Experience Office & Accounts required, 3 - 5 years +
  • Ability to work independently and collaboratively as part of the team
