OFFICE COORDINATOR / MANAGER


Tewkesbury/Gloucester

We are seeking an organized, proactive, and personable Office Coordinator / Manager to ensure the smooth and efficient operation of our office. You will be the central point of contact for our internal teams and clients, handling a wide range of administrative, operational, and organizational tasks to create a productive work environment.

Main Duties & Responsibilities:

  • Oversee daily office operations, including supply procurement, coordination of maintenance services, and management of office equipment.
  • Process client orders through the internal system accurately and efficiently.
  • Communicate project status updates and relevant data to clients in a timely manner.
  • Manage external contractors by reviewing contracts, monitoring progress, and verifying completion of assigned tasks.
  • Serve as the first point of contact for clients and suppliers, providing a professional and friendly welcome.
  • Provide comprehensive administrative support to the management team, including scheduling meetings, managing calendars, and preparing documents.
  • Assist with HR functions, including new employee onboarding, maintaining personnel files, and coordinating internal events.
  • Maintain supplier relationships and manage contracts for office services.
  • Oversee office safety and compliance, including managing health and safety procedures, fire drills, and first aid provisions.

Skills and Qualifications

  • Proven experience in an office management, coordination, or administrative support role.
  • Good organizational and time-management skills, with the ability to multitask effectively.
  • Good written and verbal communication skills.
  • High proficiency in Microsoft Office Suite (Word, Excel, Outlook) and other relevant software.
  • A positive, professional, and friendly demeanour with a strong customer service mindset.
  • Ability to work independently and as part of a team, demonstrating a proactive approach to problem-solving.
