Role Overview
BAM Agency is looking for a hands-on Activation Operations Executive to support the preparation, set-up and delivery of experiential marketing campaigns across the UK.
This is a practical, varied role suited to someone who enjoys being active, organised and involved in the physical delivery of events. The role includes preparing campaign kits in the warehouse, loading and transporting activation sets, setting up event spaces, carrying out on-site checks, supporting live activations, and dismantling equipment at the end of campaigns.
The Activation Operations Executive owns the practical delivery of the activation kit and set-up, working from the campaign brief, timings and requirements provided by the Campaign Manager. They are responsible for ensuring BAM’s campaign assets are prepared properly, delivered safely, installed correctly, checked before going live, and returned in good condition.
This role sits closely alongside the Campaign Manager and Campaign Executive. The Campaign Manager owns the overall campaign plan, client communication, budget and timeline. The Campaign Executive supports campaign administration, staffing, supplier communication and reporting. The Activation Operations Executive owns the physical delivery layer, including kit, warehouse, loading, transport, set-up, checks and decamp.
This is not a desk-based campaign role. It involves regular manual handling, driving, loading, travel, early starts, occasional late finishes and working on-site at events. In return, it offers a varied role within a small agency where no two weeks are the same.
Key Responsibilities
Campaign Set-Up and Live Event Delivery:
- Transport activation sets, campaign equipment and event materials to sites across the UK.
- Set up and build campaign spaces, branded activations, pop-ups and experiential sets.
- Carry out on-site checks before the activity goes live, including kit checks, visual checks, basic safety checks, and the set presentation.
- Support or lead the delivery of smaller activations on-site where required.
- Troubleshoot practical issues during set-up and live activity.
- Decamp activations at the end of campaigns, ensuring all kit is packed down safely and returned correctly.
- Represent BAM professionally when working with clients, venues, suppliers and event staff.
Warehouse, Kit and Stock Management:
- Prepare activation loads for upcoming campaigns and event managers.
- Pick, pack, check, clean and organise campaign equipment before and after events.
- Load and unload vehicles safely and efficiently.
- Maintain warehouse organisation, making sure kit is easy to locate and ready for future use.
- Check returned equipment for damage, missing items or cleaning requirements.
- Support basic maintenance, repairs and replacement tracking where needed.
- Help create and maintain kit lists, load lists and stock records.
- Keep campaign assets in good condition and ready for future use.
Logistics and Campaign Preparation:
- Work with the Campaign Manager to understand what each activation requires.
- Work with the Campaign Executive to confirm kit lists, stock requirements, delivery notes and campaign materials.
- Support the preparation of campaign assets, signage, props, equipment and printed materials.
- Help coordinate transport, delivery timings and practical site requirements.
- Ensure event managers and on-site teams have the correct equipment, paperwork and campaign materials.
- Support the completion of checklists, delivery notes, risk assessments and operational documents where required.
- Flag any missing kit, unclear requirements, timing issues or practical delivery risks before the activity goes live.
Live Delivery Feedback and Improvement:
- Capture and report practical feedback after each activation.
- Record kit condition, missing items, damage, cleaning requirements or replacement needs.
- Report site issues, access problems, venue restrictions or supplier challenges.
- Share feedback on staffing, set-up timings, client or venue comments and improvements for future delivery.
- Help improve load lists, packing processes, reset sheets and operational checklists.
- Support the team in making repeat campaigns faster, cleaner and easier to deliver.
General Agency Support:
- Provide practical support across the warehouse, office and campaign team during quieter operational periods.
- Assist with supplier collections, stock ordering, campaign preparation and internal organisation.
- Support the wider BAM team with practical, operational and administrative tasks as business needs change.
- Take a flexible approach to workload, recognising that experiential marketing can involve peaks, quieter periods and changing priorities.
Person Specification
Essential:
- Full UK driving licence.
- Confident driving vans or willing to build confidence driving larger vehicles.
- Practical, hands-on approach with a willingness to load, carry, build, pack and organise event equipment.
- Strong organisational skills and attention to detail.
- Ability to follow checklists and complete tasks properly without constant supervision.
- Good communication skills when dealing with colleagues, venues, suppliers, staff and clients.
- Comfortable with early starts, travel and occasional overnight stays.
- Able to work under pressure and solve practical problems on-site.
- Reliable, punctual and proactive.
- Good basic IT skills, including Google Workspace or similar tools.
- Physically able to carry out manual handling tasks as part of the role.
Desirable:
- Previous experience in events, experiential marketing, logistics, warehousing, production or field marketing.
- Experience setting up branded activations, exhibition stands, pop-ups or promotional spaces.
- Experience driving vans.
- Basic knowledge of event health and safety.
- Forklift licence, first aid qualification or other relevant operational training.
- Experience supervising small teams on-site.
Working Pattern and Travel
The role will be based around BAM’s office and warehouse in Cheltenham, with regular travel to campaign locations across the UK.
Some work will take place outside standard office hours, including early mornings, evenings and occasional weekends, depending on campaign requirements.
BAM’s workload fluctuates throughout the year. During busy periods, the role will be heavily focused on campaign preparation, travel and on-site delivery. During quieter periods, the role will include warehouse organisation, kit maintenance, campaign preparation and wider administrative support.
BAM is a small, fast-moving agency, so there will be times when team members support work outside their core role. This may include campaign preparation, warehouse support, admin, supplier research, reporting, internal process work or live event support, depending on business needs and workload.
