Lepus Consulting is an environmental consultancy supporting public sector clients and specialising in environmental assessment and environmental planning. We are seeking an experienced Business Operations Manager to run our office, manage our business systems and coordinate project administration.
You will work closely with the directors and consultants to keep projects organised, information accurate and actions moving. The role combines practical office management with responsibility for Synergist, our project and business management system.
Key responsibilities
- Maintain the project management system, ensuring bids and projects are accurately recorded, budgets and programmes are kept up to date, and colleagues use the system consistently.
- Coordinate resource schedules, monitor timesheet completion and prepare reports on workload, project progress and financial performance.
- Track deadlines, budgets and outstanding actions. Follow up commitments and flag delays, resource conflicts or financial concerns.
- Ensure project setup requirements are completed and contracts, purchase orders and change control records are maintained.
- Coordinate invoicing, maintain billing forecasts and pursue outstanding payments, working with the Operations Director and external accountants.
- Manage office arrangements, suppliers, shared inboxes, digital records and document templates.
- Provide executive support, including diary coordination, meeting preparation, action tracking and travel arrangements.
- Maintain BrightHR records and coordinate recruitment administration, induction and training.
- Support bid administration, including submission timetables, procurement portals and supporting documents.
- Play a key role in account management and client interface.
About you
You will have experience in office management, business operations or project coordination, ideally within consultancy or professional services. You will be organised, numerate and confident following up colleagues, resolving problems and seeing tasks through to completion.
Strong Word and Excel skills are essential, alongside experience using business management systems and handling financial administration. Experience with Synergist, Xero or BrightHR would be advantageous.
You will take ownership of operational coordination and system administration, working alongside project managers who retain responsibility for technical delivery, client relationships and project budgets.
