We are seeking a highly organised and proactive Project Coordinator to support our construction project teams in delivering high-quality projects on time and within budget. This role plays a vital supporting function across multiple projects, assisting senior management, site teams, and internal departments with coordination, administration, documentation, and process implementation. The ideal candidate thrives in a fast-paced environment, has strong attention to detail.

Responsibilities

  • Assisting with the coordination of the design process for projects, liaising with architects, engineers, and internal teams to ensure timely progression of design deliverables and approvals.  
  • Provide administrative support to senior management, including diary coordination, scheduling of meetings, preparation of agendas, and production of accurate meeting minutes. 
  • Monitor and track site Key Performance Indicators (KPIs), including progress against schedule, quality metrics, safety performance, and other project-specific targets; report variances and support corrective actions. 
  • Support the implementation and adoption of Procore and Breadcrumb software across projects, including user training where needed.  
  • Assist with the coordination of the Mastic Operative across all three divisions.
  • Assisting the Dry Lining Contracts Manager with IFC compliance and necessary paperwork including project packs.  
  • Help coordinate snagging, defects rectification, and customer care/handover processes to ensure smooth project close-out and client satisfaction. 
  • Contribute to the preparation of monthly progress reports and financial updates for clients, compiling data from site teams and ensuring timely submission. 
  • Liaise with the Health, Safety, Quality & Environment (HSQE) department on upcoming projects, potential issues, compliance requirements, and incident reporting. 
  • Enforce adherence to company standards for document saving, filing, and version control across all project-related files (both digital and physical). 
  • Assist senior management with project close-out activities, including collation and filing of contractual documents.
  • Support the surveying team in the close-out and management of collateral warranties, guarantees, and related documentation. 
  • Help manage the day-to-day operations of the construction office, including coordination of facilities, supplies, post, meeting room bookings, and general office administration. 
  • Assist in the preparation and compilation of Operations & Maintenance (O&M) manuals where required, ensuring all relevant documentation is accurate and complete. 
  • Assist in the coordination and logistics of key internal and external meetings held at the office or virtually.
  • Other tasks as required by the Construction Division.

Qualifications & Experience

  • Previous experience in a project coordination, administrative, or assistant role within the construction industry. 
  • Familiarity with construction project lifecycles, including design, procurement, site operations, handover, and close-out. 
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint); experience with project management software (highly desirable). 
  • Strong organisational and time-management skills with the ability to prioritise tasks across multiple projects. 
  • Excellent written and verbal communication skills, with proven ability to produce clear meeting minutes, reports, and correspondence. 
  • Knowledge of health & safety regulations and quality standards in construction. 
  • Full driving license (preferred, due to occasional site/office travel).
