Admin and Digital Engagement Coordinator
Stonehouse
12-month contract to cover maternity leave
Reports to: CEO
Hours: 18 hrs per week

Job Summary:
We are seeking a proactive and creative Admin and Digital Engagement Coordinator to support our community-focused initiatives, Gig Buddies and Social Buddies, working with adults with learning disabilities. This role combines digital communication, administrative support, and light IT responsibilities to ensure smooth operations and meaningful engagement with our participants, volunteers, and staff.
Key Responsibilities:
Digital Marketing & Communications
- Design engaging marketing materials using Canva.
- Create and schedule social media posts across platforms.
- Contribute to the Gig Buddies WhatsApp group to support community engagement.
- Create Easy Read documents for events and communications.
IT & Systems Administration
- Serve as SharePoint administrator, managing access and document organisation.
- Support staff with basic IT needs, including administrator permissions and password management.
- Manage website content and updates.
- Handle authentication for websites via work phone.
- Ensure annual cyber security updates are completed.
Data & Database Management
- Maintain participant and volunteer databases.
- Use Microsoft Forms to create and distribute surveys and forms.
- Use mail merge to invite participants to events.
- Manage the admin email account and respond to inquiries.
HR & Compliance
- Conduct DBS checks for staff and volunteers.
- Assist with recruitment processes when needed.
- Create and manage organisational policies via SharePoint.
Project & Event Support:
- Provide administrative support for Social Buddies and Gig Buddies projects.
- Admin support for the Events Team.
- Collaborate with team members to coordinate events and activities.
- Support fundraising efforts for ongoing and new projects.
General Administration:
- Responding to all queries from internal and external contacts.
- Providing data and admin support for CEO, colleagues and Trustees as required
- Providing updates & figures for staff meetings
- Email responses to all participants.
Skills & Experience:
- Proficiency in Microsoft 365 (especially SharePoint, Forms, Outlook, and Excel).
- Experience with Canva and social media platforms.
- Strong organisational and communication skills.
- Basic understanding of IT systems and user support.
- Ability to manage multiple tasks and work independently.
- Experience working with community or volunteer-led projects is a plus.
Desirable:
- Familiarity with accessibility standards (e.g., Easy Read formats).
- Experience in fundraising or community engagement.
- Knowledge of safeguarding and data protection practices.
