Exams & Admissions Officer
Cheltenham
Permanent
Salary Scale Point Range 15 – 20 Actual £21,932.81 - £23,812.41 per annum (£30,024 - £32,597 FTE)
Our Exams and Admissions Team is a small, friendly team, and a key department in the efficient running of our school. Teamwork is central to everything the team does, supporting each other to deliver an exceptional service to students, parents, carers and staff.
The team is responsible for running all public examinations, including GCSEs and A Levels, as well as internal school exams. This involves meticulous planning, organisation, and attention to detail to ensure every exam runs smoothly and in line with national regulations. The team plays a key role in creating a calm and supportive environment for students during these important milestones.
Alongside examinations, the team oversees the school’s admissions process for years 7-11. This includes managing Year 7 entry and handling in-year admissions, ensuring families receive clear guidance and a positive experience from their first contact with the school.
As a key member of our Exams and Admissions Team, you’ll play an essential role in ensuring the smooth and compliant delivery of all examination and admissions processes. Working closely with our experienced Exams and Admissions Manager, you’ll be supported as you take ownership of a wide range of responsibilities that make a real difference to students and families.
Your day-to-day work will be varied and rewarding. You’ll help administer every stage of the examination cycle from planning timetables and room allocations to preparing exam spaces and coordinating our team of invigilators. You’ll assist with exam access arrangements for eligible students, manage the secure handling of papers and certificates, and support the processing of results and post-results services. Beyond exams, you’ll play a key role in organising the Gloucestershire Grammar Schools Entrance Test and liaising with parents, local authorities and other schools regarding admissions, including in-year applications.
Previous experience in exams or admissions administration is desirable but not essential; we’re more interested in your skills and approach. If you have excellent communication skills, strong attention to detail and can stay organised under pressure, we’d love to hear from you.
You should be proactive, confident with IT systems, and able to use your initiative. A calm, friendly and approachable manner is key, as is flexibility to adapt to changing priorities. This is a part-time role averaging 30 hours per week, term time only, plus 2 weeks in August. Given the nature of the role, there are peak times (currently January, May and June) where more hours will be required. However this does provide the opportunity for flexibility in working hours throughout the year. This can be discussed in more detail at interview.
Joining our Exams and Admissions Team means being part of a department that truly impacts student success and school life. If you enjoy working collaboratively in a close-knit environment where every contribution matters, this is the perfect role for you. We look forward to receiving your application.
