ADMINISTRATOR – Part time, 22.5 hours Term time only plus 10 days
This role is an on-site one (Cirencester Shop) Mon-Frid -9.30am-2.30pm

Interview date – Thursday 4th September

Creative Picture Framing is a successful family business based at College Farm Buildings in Cirencester and a second shop in Cheltenham and established in 1988. Our mission is to create top quality bespoke frames offering a picture framing service from creation, restoration, finishing, as well as a hanging service which is second to none. Our fully comprehensive, quality service, includes advice from our experienced staff, from design to finish for framing pictures and showcasing ourcustomers special objects in a caring and professional way.

We are looking for a new team member with a flair for administration who also enjoys front of house meeting and greeting for when our customers come to collect their work. Someone who enjoys keeping neat and organised records and loves the challenge of setting up and maintaining user friendly systems and processes. Job Purpose/Key Role:
Performing general administration duties to aid our framing team in their day to day duties. Role includes answering the telephone, dealing with emails, filing, inputting, ordering, organising the diary, liaising with customers to organise appointments, taking in deliveries, keeping staff Leave records and any other administration duties as required.

Main Duties/Responsibilities
• Answering the phone and dealing with emails
• Inputting customer information to ‘Quickbooks’ accounting software (training will be given)
• Ordering supplies as directed by Manager
• Dealing with customer pickups and taking payments from them
• Checking in deliveries and ensuring stock is stored correctly with accurate stock control
• General duties as required by the Manager

PERSON SPECIFICATION

QUALIFICATIONS

Educated to GSCE level (4 A-C Grades) or equivalent including Level 2 Maths and English

Must be IT literate and confident with a good working knowledge of Microsoft Word, Excel and Outlook and ability to learn sector specific software

KNOWLEDGE

Demonstrate good knowledge of efficient administration processes

EXPERIENCE

At least two years previous experience of working in an Administration role

SKILLS – personal

Confident and comfortable with speaking to customers as well as having strong back office skills

Positive and ‘can do’ personality, with solution focused approach

Understanding of the importance of confidentiality and discretion

Able to regularly move around the workshop and liaise with staff as necessary to pass on messages etc. This won’t be a role where you will be sitting down all day

Able to work on own initiative as well as part of a team

Strong work ethic with good attention to detail

Ability to be adaptable and able to prioritise and re-prioritise work according to the changing workflow patterns arising from how busy the shop is on a particular day

Able to provide a favourable and professional impression by demonstrating excellent communication and interpersonal skills

Excellent verbal and written communication skills

Flexible and reliable and trustworthy

SKILLS - technical

Demonstrate an ability to use IT proficiently using Microsoft packages (MS Word, Excel, PowerPoint; MS Outlook).

OTHER REQUIREMENTS

Full Driving Licence desirable

Key Relationships:
Internal
• Other staff/team members – cross team working and multi skilling is essential to enable day to day decisions of how best to manage ongoing tasks and workload to meet organisational objectives and targets.

External
• To help promote Creative Picture Framing in a professional and clear way, especially when liaising with clients on behalf of the business.

Additional Information:
• Hours to be worked over 5 days, Term time only plus 10 days to be agreed
• Comply with any additional reasonable requirements relevant to the changing needs of the team and the business
• Occasional unsociable hours and travel. Also, possible occasional requirement to work at Cheltenham shop for cover as needed
• Progression opportunities possible in due course for the right candidate
