Part-Time Administrator

We are looking to recruit a part-time Administrator to join our friendly, supportive, and professional administrative team here at Brockworth Surgery, a busy NHS GP practice in Gloucester.
This role is ideal for someone looking for a varied administrative position within Primary Care. You’ll play an important role behind the scenes, supporting clinicians and patients by ensuring medical records are accurately maintained, correspondence is processed efficiently, and essential administrative services are delivered to a high standard.
We are looking for one part-time position of 24 hours per week to perform a variety of duties within our Admin office.
The hours will be worked over three days per week, with some flexibility around start and finish times. Specific working patterns will be discussed and agreed with the successful candidate.
Key Responsibilities
As an Administrator, you will be responsible for a variety of administrative duties, including:
• Summarising and accurately coding patient medical records onto the clinical system
• Reviewing historical and incoming patient records to ensure key clinical information is recorded appropriately
• Scanning, attaching and processing incoming correspondence to patient records
• Managing document workflows and ensuring patient information is filed accurately and securely
• Processing new patient registrations and deductions in accordance with NHS and practice guidelines
• Providing cover for the practice test results line and communicating results to patients in line with clinician instructions
• Handling patient queries in a professional, courteous and confidential manner
• Supporting the wider administrative team to ensure the smooth running of practice services
• Maintaining patient confidentiality and complying with NHS Information Governance and Data Protection requirements
• Working collaboratively with colleagues to provide cover and support across the administrative team as required
Skills & Experience Required
We're looking for someone with:
• Previous administrative experience, ideally within a healthcare, NHS or office environment
• Excellent attention to detail and a high level of accuracy when handling information
• Strong IT skills, including Microsoft Word, Excel, Outlook and Office 365
• Experience of working with electronic records systems (SystmOne experience desirable)
• Good organisational and time management skills, with the ability to prioritise workloads effectively
• Excellent written and verbal communication skills
• A flexible, proactive and team-focused approach to work
• The ability to work independently while contributing positively to a collaborative team environment
• A professional and confidential approach when handling sensitive patient information
• An understanding of medical terminology and clinical coding principles would be advantageous but is not essential as training will be provided
