We're looking for an experienced, friendly client services and reception administrator to be the first
voice our clients and new enquiries hear. If you genuinely enjoy picking up the phone and talking to
people, and you've got office or customer service experience behind you, we'd love to hear from you.

Who you'd be joining

We're a modern, tech-driven accountancy practice in Cheltenham, and we're not stuffy accountants in
suits. We work with ambitious business owners who want to grow, and the place feels more like a
marketing company than anything dusty.

It's a friendly, hardworking team that pulls together, and you can ask whatever you need. You don't
need to know anything about accountancy, as we'll show you how everything works.

The role

This is a front-of-house, phones-first role. You'll be the friendly voice on the phone, the warm reply in
the inbox and the welcoming face at the door, with a good balance of talking to clients and new leads,
managing enquiries, handling emails, and keeping the office running with general admin.

Great service is what this role is all about: quick responses, real care, and making sure nobody is left
waiting or wondering. There's a human on the other side of every call and every email, and we're
looking for someone who never forgets it.

Some of the admin is simple and a bit routine. We'd rather tell you now than surprise you later. The
phones are the heart of the job, and the part we most need someone to love.

What you'd be doing

• Answering the phones. Taking calls from clients and new enquiries, helping where you can and
getting messages to the right person.
• Calling leads. Ringing new enquiries back promptly, finding out what they need and passing
them on to the right person.
• Managing enquiries in our CRM. Keeping every enquiry logged and moving, and using the
CRM's prompts to make sure everyone gets a timely reply.
• Client emails. Replying to client queries quickly, with friendly, well-written emails that make
people feel heard.

• Chasing clients for information. Following up with clients by phone and email for the paperwork
and information we need to get their work done.
• Reception. Welcoming clients and visitors when they come into the office.
• General admin. Data entry, scanning, sorting the post and keeping the office organised.

You're never on your own. A quick daily 10am huddle keeps the whole team connected: what
everyone's doing, and anything you need a hand with.

What we're looking for

The most important thing is that you're excellent on the phone, and you genuinely enjoy it. If a ringing
phone gives you a little buzz rather than a sinking feeling, you're our kind of person.

• Pride in giving great service and replying quickly, remembering there's a human on the other
side of every call and email
• Experience in an office, reception, client services or customer service role
• Confident, warm and clear on the phone, including making outgoing calls
• Friendly, well-written emails
• Organised, reliable and accurate with data entry
• Comfortable with everyday tech (email, spreadsheets, CRM and online systems) and happy to
learn new ones
• Happy to muck in with the less glamorous jobs too

Hours, pay and what you get

• Pay: £13.50 to £15.50 per hour, depending on experience
• Hours: 22 to 30 hours per week, part time (full time is 35 hours per week), with working days
and hours to be discussed
• Location: Office-based on Bath Road, Cheltenham
• Potential for hybrid working in the future
